You are a teacher deciding whether to type a child's name into someone else's software. That deserves a straight answer, not a scavenger hunt through a privacy policy. This page is the straight answer.
Every student field in My Teachers Toolbox is optional. You can plan lessons, build newsletters, generate sub plans, search standards and use the entire Emergency Toolkit without entering a single student's name.
Where student information helps — a behavior plan, a conference kit, a class snapshot for a substitute — you decide how much detail to give. Initials work. “Student A” works. Our recommendation is simple: enter the least you need for the tool to be useful to you.
When you choose to enter it, we store student names, notes, goals, and similar classroom information you type into the Service, along with the documents you generate from it. It is stored in our database with row-level access rules so it is reachable by your account, and by teammates only where you have explicitly shared something with them.
Data is encrypted in transit (HTTPS/TLS) and at rest.
We use third-party infrastructure and AI providers to run the Service. Here is the complete list of who can process information you enter, and what for:
These providers are bound by contractual obligations to keep information confidential and to use it only to provide the service we have asked them for.
Connecting Google Drive is optional and off by default. If you do connect it, a document is sent to Google only at the moment you click Save to Google Drive on that specific document, so that Google can create it as an editable Google Doc in your own Drive.
We request one narrow permission: the ability to create and manage files this app creates. We cannot see, open or list anything else in your Drive — not files you made yourself, not folders shared with you by colleagues. We never read files back, and connecting does not send your student records anywhere.
You can disconnect at any time from Settings → Privacy & Security. That revokes our access with Google as well as deleting it here, so it also disappears from your own Google account permissions page. Documents you already saved stay in your Drive — they are yours.
This is the question teachers ask most, so we want to be precise about it.
When you use an AI feature, the text you supply for that request is sent to the provider handling it. We do not attach your student roster, your saved student records, or any other stored data to that request — only what that specific tool needs.
That means a student's name reaches an AI provider only if you type it into the box for that request. If you write “a student in my class” instead of a name, no name leaves our system. Most Emergency Toolkit tools work exactly as well either way, and we suggest using them that way as a habit.
We do not use your content, or your students' information, to train any AI model.
Where you use My Teachers Toolbox to hold student information, we act as a “school official” with a “legitimate educational interest” under FERPA, processing that information only as directed by you.
Because the relationship with families is yours and not ours, some responsibilities stay with you and your school:
If your district needs a review, a data-processing agreement, or a completed vendor questionnaire, email support@myteacherstoolbox.com and we will work through it with them directly.
The Service is built for adult educators and is not intended for use by children. Students should not create accounts or use the Service directly.
If you are a parent or guardian and believe a child has provided us with personal information, contact support@myteacherstoolbox.com and we will delete it.
Everything you create is exportable. Lesson plans, documents and student information can be exported from Settings at any time, on any plan, including during a free trial. Your material is yours — if you leave, it leaves with you.
You can delete individual student records at any time from within the Service, and they are removed immediately.
If you delete your account, we delete your personal information within 30 days, except anything we are required to retain for legal or legitimate business purposes — billing records, for example, which contain no classroom data.
At the end of a school year, deleting a class removes those records. We recommend doing it as part of your end-of-year routine rather than leaving old rosters in place.
If we become aware of a breach affecting your data, we will notify affected users and comply with the notification requirements that apply to us. If you think you have found a security problem, tell us at support@myteacherstoolbox.com — we would much rather hear it from you than not hear it.
No system is perfectly secure, and we will not claim otherwise. What we can promise is that we take it seriously and that we will tell you the truth about it.
